  • Q: Security Practices for Virtual Fax Services & HIPAA Compliance

    Virtual Fax services follow the following standards for security purposes:

    1. Sending and Receiving Faxes 
      • Web portal and mail service are SSL encrypted (TLS 1.3, X25519 and AES_256_GCM).
         
    2. Storing Faxes 
      • Data is stored in two (2) Tier 3 data centers located in Montreal, Quebec (Canada).
      • The equipment is privately owned and not shared equipment.
      • Services are privately managed. We do not use any third-party hosting for our fax services.
         
    3. Accessing Faxes 
      • We are PCI-compliant for access to data storage on our network. [ See PCI Certificate ]
      • The client portal supports two-factor authentication and permission-based access, allowing you to control which users can view or manage your fax data.

    HIPAA / PHIPA Compliance Option 
    The HIPAA / PHIPA Compliance Add-On enables additional safeguards required for healthcare and privacy legislation compliance, including:

    • Encrypted storage of fax data at rest.
    • Detailed audit logging of fax access and modifications.
    • Automatic enforcement of stricter authentication and access policies, including requiring portal authentication for fax downloads.

    These features are optional and can be activated per Virtual Fax Profile. Profiles without this add-on still benefit from all baseline security standards listed above.

    IMPORTANT - Fees may apply for the HIPAA / PHIPA Compliance.
  • Q: Can I receive my virtual faxes in multiple email addresses?
    A:

    The virtual fax profile can be configured to receive faxes to one email address per DID.

    However, should you want to receive faxes at multiple email addresses simultaneously, you can use an email distribution list (contact your web hosting company). You can also create a message rule in your favorite mail software for it to automatically forward your fax to more than one email address.

    Here's all the currently supported file formats using our Mail2Fax service:

    Cover page (embedded in email body):

    The email body can be either HTML or PLAIN TEXT

    • JPG/JPEG - Image in JPEG format
    • BMP - Image in Bitmap format
    • GIF - Image in Graphic Interchange Format
    • PNG - Image in Portable Network Graphics format

    File attachments:

    • PDF - Adobe Acrobat file
    • TXT - Text file
    • JPG/JPEG - Image in JPEG format
    • BMP - Image in Bitmap format
    • GIF - Image in Graphic Interchange Format
    • PNG - Image in Portable Network Graphics format
    • HTML - Hypertext file
    • TIF/TIFF - Image of TIFF file format
    • DOC/DOCX - Microsoft Word file
    • XLS/XLSX - Microsoft Excel file

    IMPORTANT

    • There is no limit to the number of files you can include as attachments to your email.
    • There is a total limit of 30 Megabytes for the size of the email, with a limit of 150 pages.
  • Q: Mail2Fax (Email to Fax) - Customizing your cover page

    Here are the information you can customize in the cover page when sending faxes by email:

    • Name and address of origin
      Name and address of the default profile
       
    • Name and address of the destination (TO)
      First Name/Last Name (if using address book) and/or fax number 
       
    • Subject
      Email subject
       
    • Content
      Text or HTML content
       
    • CC and BCC 
      Ignored when sending multiple faxes, but not for email
       
    • Priority
      Ignored for the moment

    You can also deactivate the cover page in your fax profile. In this case, only the email attachments will be sent to the fax.

  • Q: Adding a virtual fax profile

    What is virtual fax?
    The Virtual Fax feature is used to send and receive faxes service using a DID number specifically dedicated to Fax.


    To set up a virtual fax, please make sure the following prerequisites have been done:

    1. You have an active DID number (a phone number) that supports Fax (T.38 protocol) in your account.
      OR
    2. You need to order a phone number for your virtual fax. You can do so here.
